How to enhance your protection using timed activities

 

What is a timed activity?

A timed activity allows you to set a timer for a specific task. This feature records task details to help an alarm receiving centre (ARC) understand your actions if an alarm is triggered. If you fail to cancel the timer before it ends, an automated overrun protocol will be activated, and the system will raise an alarm if necessary.

 

Why should I use a timed activity?

A timed activity is ideal for tasks that carry a higher level of risk than usual. Before starting such tasks, complete a dynamic risk assessment and follow the safety guidelines provided by your management or health and safety team. 

 

What should I record for my timed activity?

When setting a timed activity, it’s crucial to provide clear details, especially for high-risk tasks, such as:

  • Increased Risk Tasks: These include tasks like entering an unsafe property, meeting a person known to be volatile, working at heights (e.g., on a ladder), or working in confined spaces.

  • Large or Multi-Storey Buildings: While our service automatically tracks location data, providing specific details about your location within a building (such as floor or room number) can help emergency responders reach you faster. GPS typically doesn’t provide 3D location data.

How does it work?

  1. Set the Timer: Once you create a timer, your time is logged in the system. Even if you lose signal, you're still covered.

  2. Cancel the Timer: To cancel the timer, press and hold the button or app tile before the countdown ends.

  3. Timer Overrun: If the timer is not cancelled before it finishes, the overrun protocol will begin automatically.

What happens when a timer overruns?

If you don't cancel the timer, an automated process will take over:

  • 5 Minutes After Timer Ends: You will receive an automated call.

  • 10 Minutes After Timer Ends: If the first call goes unanswered, you will receive another automated call.

  • 11 Minutes After Timer Ends: If both calls are unanswered, an alarm will be raised.

What should I do when I receive a call?

Automated calls will come from +442035356644. To ensure you recognize the call, save this number in your phone.

  • Pick Up: Answer the call and listen to the prompts.

    • Extend: If you're still working on the task, select the option to extend the timer and enter how many more minutes you need.

    • Cancel: Select the option to cancel the timer and stop the alarm from being raised.

    • Duress: If you're in an emergency, enter 0000 to immediately raise an alarm to the ARC.

What happens if an alarm is raised?

If the timer is not cancelled and both calls are missed, an alarm is triggered and sent to the ARC. The ARC will receive your alarm notification along with your location, but they will not have access to live audio from your device. They may follow up with a quick call to confirm the situation.

 

How does a timed activity work on a device?

Follow these steps if you have a device with a timed activity feature:

  1. Press and Hold the Button: Hold the button for 4 seconds.

  2. Message Prompt: The device will prompt you to record your activity details.

  3. Record Your Message: Provide information about the task you’re performing.

  4. Confirmation: Once the message is recorded, the device will confirm, saying, “Your activity has been registered. Thank you for calling, Goodbye.”

  5. Set a Timer: To help you remember how long you have left, you can set a timer on your phone or watch to record the time. 

Note: The default duration for a timed activity is 60 minutes, but it may be adjusted by your company administrator. Check with your manager to confirm.

 

How does a timed activity work on an app?

You can create a timed activity through the Peoplesafe Pro app using either the Log Activity or Text Activity tiles:

  1. Open the App: Launch the Peoplesafe Pro app on your device.

  2. Select Activity Tile: Choose the Log Activity or Text Activity tile.

  3. Set Duration: Enter the duration for your task in minutes.

  4. Record Message: Log your activity details through voice (Log Activity) or text (Text Activity).

  5. Confirm: Ensure that the timer is set properly, and you’ll be notified when it’s active.
