What happens to my data when I delete a persons profile?

Deleting a profile is a permanent action, so it's important to understand what happens to the associated data. Once you confirm the deletion, this process cannot be reversed.

Summary

When a user's profile is deleted, the following happens:

  • The profile and all associated data are permanently removed.
  • The user's account and portal access are revoked.
  • Any devices and app subscriptions are unassigned.
  • The user is removed from all teams and groups.
  • For historical accuracy, the user's name will be replaced with a "[Deleted]" entry in all reports and audit logs.
  • Any scheduled reports they created are removed.

Profile and Data Deletion

When an administrator deletes a user's profile, the action is permanent. The user's profile and all associated data are completely and irreversibly removed from the system. This includes the person's Timed Activities, Voice Memos, and Audio activities, as well as any scheduled reports they created.

Account and Access Removal

Deleting a profile also revokes all access. The user will no longer be able to log in to the portal. Furthermore, they will be removed from all teams and groups they were a member of, including any they managed.

Device and App Subscription Changes

Any devices or app/phone subscriptions assigned to the user will be unassigned. This makes those devices and app subscriptions available to be assigned to another user.

Audit Trail and Reporting

To maintain a clear record of past actions and to ensure data integrity in historical reports, the user's name is replaced with [Deleted dd/mm/yyyy hh:mm] in all reports and audit logs, including device and profile audit logs. This ensures that historical data remains intact while protecting the privacy of the deleted user.
