Assigning App Subscriptions
You can assign app subscriptions in two different ways depending on how the user is set up:
- Users with an email address (standard users with portal access)
- Users with only a phone number (no portal access required)
1. Assigning an App to a User with an Email Address
These users must have:
- An activated profile
- Portal access enabled
- A valid email address
Their email address and password will be used to log in to the app.
Option A: Assigning from the Apps Page
- Open Apps & Devices from the main menu, then select Apps.
- At the top of the page, you’ll see:
- Total number of apps available
- Remaining subscriptions
- Subscriptions in use
- Click Assign.
- Select the app type you want to assign.
- Use the dropdown to search for and select a user.
- Only activated users with portal access will appear.
- If a user is missing, check their profile settings.
- Click Confirm.
✅ The user will receive an email with instructions on how to access the app, including setup and training information.
Option B: Assigning from a User’s Profile
- Navigate to People and open the user’s profile.
- Ensure the user is:
- Activated
- Has portal access enabled
- In the Apps & Devices panel:
- Click Add app subscription to assign a new app
- Click Edit app subscription to update an existing one
- Remove access if required
2. Assigning an App to a User with Only a Phone Number
These users:
- Do NOT require portal access
- Will log in using their phone number instead of email
⚠️ Important: When assigning the app, you must enable phone number authentication.
Steps
- Go to either:
- Apps page (via Apps & Devices), or
- The user’s profile in People
- Click Assign or Add app subscription
- Select the app type
- Select the user (phone-number-only user)
- In the assignment settings:
- Under Authentication Method, tick the box to enable phone number login
- Click Confirm
✅ The user will access the app using their phone number, and no portal login is required.
